Call for Volunteers: Publications Coordinator & Author Talks Coordinator/Secretary
The Alberta Library Conference Planning Committee is seeking volunteers for two positions:
(1) Publications Coordinator

ALC pays travel and expenses to attend all meetings and the conference.

PUBLICATIONS COORDINATOR POSITION DESCRIPTION

Responsibilities
a) Conference Program: In consultation with the planning committee:
• Collects and inputs information from co-chairs, author talks coordinator, social
convenor, sponsorship coordinator, exhibits coordinator and registrar into program template
• Sends an electronic draft to committee for input and corrections.
• Sends an electronic final copy to committee for approval.
• Delivers the program to the printer (currently Econolith Press in Calgary).
• In consultation with the sponsoring organizations, directs the printer to print and distribute copies to the members of the sponsoring organizations.
b) Conference at a Glance:
• Collects convenor information from co-chairs.
• Collects room allocation information from local arrangements coordinator.
• Sends draft Glance to committee for input and corrections.
• Delivers Glance to the printer.
• In consultation with the registrar, directs printer to print enough copies for all delegates, speakers and exhibitors.
c) Conference Signage:
• In consultation with sponsorship coordinator and the sponsoring organizations, prepare signs for the conference including sponsorship signs for sessions and social events, awards sign, exhibit hours sign and other signs as requested by the committee.
AUTHOR TALKS COORDINATOR/SECRETARY

Responsibilities
a) Author Talks:
In consultation with the planning committee:
• Book two authors ensuring that you are working within the budget designated by the conference planning committee. When making your choice, consider past authors in attendance, aiming towards an appropriate balance between fiction and nonfiction authors, between adult and youth/children’s authors, and between Alberta and other Canadian authors.
• Ensure that contract/accommodation/room set-up forms are forwarded to the appropriate committee members by the deadline.
• Provide person responsible for conference brochure as well as LAA and ALTA newsletter editors with appropriate write-ups and photographs.
• Ensure adequate supplies of books are on hand for author signings and arrange for their sale.
• Prepare author introductions.
b) Meeting minutes:
• Take minutes of planning committee meetings.
• Submit draft to co-chairs for approval within 1 week of each meeting.
• Circulate to committee members after approval from co-chairs (preferably within 2 weeks of each meeting).
c) Conference Evaluations
• In consultation with planning committee, design conference evaluation form.
• Arrange for 500 copies of form to be available to conference attendees (at registration desk or stuffed into Conference at a Glance).
• Compile evaluation results and prepare report to be presented at the June meeting.
